Coordinating a solar contractor with roof waterproofing work

Prepare a written handoff between roof and solar appointments without assuming either contractor covers the other trade.

Waterproofed Editorial5 min readUpdated

Start with the equipment that affects access

A roof repair brief should identify existing solar equipment before a waterproofing contractor prices attendance. The owner should explain what occupies the relevant roof area, who maintains it and whether records of previous installation or alteration are available. This does not establish how the equipment should be moved or whether it needs moving at all. Ask the contractors responsible for the respective systems to assess their own requirements and explain the sequence they propose.

The commercial problem often begins with a gap between two quotations. The roof proposal excludes all equipment work, while the solar proposal covers an inspection but says nothing about attendance after the roof repair. The owner may assume the two prices together produce a complete job. They might not. A coordination schedule should expose the missing appointment before either team arrives, while leaving technical and electrical decisions with appropriately qualified people.

Give both contractors the same location record

Use one roof sketch showing the affected area and the equipment nearby. Include photographs already available from safe locations and any relevant installation records supplied by the owner. Mark uncertainty instead of filling it with guesses. If the owner does not know which installer carried out a previous alteration, say so. A contractor can then explain whether its proposal depends on additional investigation or on locating information from the original installation.

Ask each bidder to identify which assumptions it has made about access beneath or around equipment. An owner should not authorise casual relocation to make a quotation easier. The purpose of the sketch is to prompt an agreed assessment of the interface. Where the roof and equipment contractors need a joint visit, request a price and deliverables for that appointment. Confirm who writes the resulting sequence note and who receives it.

Put the handoff in the programme

The programme should name the point at which one contractor hands an area to the other. It should explain who confirms readiness, what record accompanies that confirmation and what happens if conditions differ from the agreed assumptions. Avoid using a single sentence such as solar by others when several visits may be needed. The owner needs to know which attendance is included, who books it and which party can request a change to the programme.

Ask about the final attendance as carefully as the initial one. If equipment-related work is necessary, its appointed contractor should explain what it will check or document on completion within its own scope. A roof contractor's completion note is not automatically an equipment-system sign-off. Likewise, an equipment attendance does not certify the waterproofing. Keep the records separate but cross-reference the roof area and the dates so the project history remains understandable.

A fictional two-contractor example

Imagine an owner investigating a leak near an existing solar installation. The roof contractor cannot confirm the complete repair scope without assessing a covered junction. The solar contractor offers a preliminary visit and asks for the roof proposal. Instead of guessing which system caused the leak, the owner arranges a defined joint assessment. Its purpose is to agree access, identify unanswered questions and produce a sequence for the proposed works. It is not a promise that a single visit will diagnose the defect.

After the joint visit, suppose the proposals require separate attendance before and after a particular roof stage. The owner creates a programme with those appointments and the responsibility for confirming each one. If a later inspection changes the work, both contractors receive the revised record. The example does not prescribe moving equipment or a repair detail. It shows why booking only the first solar appointment could leave the roof programme incomplete.

Compare the combined commercial scope

Create a cost summary that preserves each contractor's quotation and identifies shared assumptions. Note any provisional attendance, storage arrangement, access equipment or return visit. Do not combine them into a single unexplained roof rate. If a contractor relies on another party's work being completed first, write that dependency beside the relevant stage. Ask whether cancellation or repeat-attendance charges apply if the preceding stage is not ready, and obtain the proposed terms before acceptance.

Where a supplier or installer warranty may be relevant, ask the responsible provider what documentation and process it requires. Do not infer that an informal approval preserves a warranty or that all existing warranties cover the planned alteration. The actual documents and circumstances need checking by the relevant parties. An owner can organise that enquiry without making a technical or legal conclusion. Keep any unresolved warranty question visible in the decision register until the responsible provider answers it.

Leave one clear project record

At completion, retain the agreed scope, revised sequence, location photographs and each contractor's own completion documents. Give files descriptive names so an owner returning to the matter next year can tell which roof section and which equipment attendance they concern. If one appointment remains outstanding, record it as outstanding rather than labelling the whole project complete. This is especially important when a property manager and an overseas owner share the documents through different email chains.

For example, the owner programme can name solar visit A, roof stage B and solar visit C as separate entries. Each entry should identify its accepted proposal and booking status. If visit C is only estimated, show that explicitly. The owner can then see that completing stage B does not yet close the whole coordinated appointment sequence.

Waterproofed's assessment enquiry can describe the roof concern and the existing equipment before attendance is discussed. For the separate solar enquiry, Solarpanel is a relevant starting point to request the provider's actual scope. Neither enquiry establishes a shared contract or a technical finding. The useful connection is a coordinated owner brief that lets each specialist explain its work and leaves the owner with a complete sequence instead of two disconnected quotations.
